How do I sort out a creditor or debtor where matching is imbalanced?

We have added some great functionality to help you sort out accounts that have been incorrectly matched.

Step 1: Go to the Creditor or Debtor account in question.
Step 2: Select the Sales/Purchase and Budget button in the bottom right of the Master File.
Step 3: Select ‘Account Transactions’ at the bottom of the page.
Step 4: Go to a recent cashbook transaction, right click and select “Customer/Suppliers Account Transaction Menu” then select “Match Transaction”.
Step 5: Check that the period at which the adjustment will be made is correct.
Step 6: Tick the box ‘Show All Transactions’ (this may take a moment to populate).
Step 7: Tick the red box to unmatch / unallocate all transactions.
Step 8: Confirm the unmatching / unallocating.
Step 9: Tick OK for operation complete

  • If allocations were correct, the “To Allocate” will remain 0, then you can just exit the matching screen.
  • If allocations were not correct, the “To Allocate” will have a value other than 0. Then tick the green arrow to accept.

Step 10: The system will revert to the Account Transaction screen.
Step 11:Go to the same cashbook transaction, right click again and select “Customer/Suppliers Account Transaction Menu” then select “Match Transaction”.
Step 12:Check that the period at which the adjustment will be made is correct.(This should not be current period as that will affect statements sent out this month).
Step 13:Tick the Green Box to Match / Allocate all Transactions.
Step 14:Confirm the Matching/Allocating
Step 15:Tick OK for Operation Complete
Step 16:If there is an active balance on the account the amount will appear in the ‘To Allocate’ box at the bottom. You must now unmatch all those transactions which are unsettled until the ‘To Allocate’ box is zero.
Step 17:Tick the Green Arrow to Accept (And that’s it repeat for all as required)
Step 18:Recalculate Debtors / Creditors
